The role of medical office assistants is of great importance especially in the health care industry. The first person whom the patients contact in a clinic or hospital is the medical office assistant. They perform many roles, right from maintaining patient’s records to assisting the physician in small medical procedures. In small clinics, they are required to do all clinical and clerical jobs while in hospitals, they are trained to perform certain specific tasks. The performance of the entire medical unit mostly depends on the efficiency of the medical office assistants. Scope of Medical Office Assistant

Although a graduate degree is sufficient to become a medical office assistant, it is recommended to have a certificate or diploma in the field of medical assistance. Clinics and hospitals prefer certified medical office assistants over other candidates. These certificate courses include basic biology, medicine specific operations and other management techniques. Some of them also include insurance and billing techniques. They also provide hands on training which is very much required to perform the job efficiently.

Apart from hospitals, the medical assistants also work in insurance industry, clinical labs and health departments. Hence it is necessary that they understand medical terminology and health care procedures. This also makes the scope of their work wide. They are required to attend emergency calls, maintain records and schedule appointments. They have to assist doctors during medical examination and simple procedures. They present the lab reports and results of various tests conducted, to the physician. Maintaining the medical history of the patients, they assist the patients during hospitalization. 

Some of the states have well defined the scope of work for medical office assistants, while some of them have not. The medical assistants are required to maintain the workflow in clinics and hospitals under the guidance of the physician. They are to decide on the emergency protocol and schedule appointments accordingly. They record the patient’s details and maintain it. They assist the physician to set up the medical examination room and prepare the patients for the required tests. They also convey medical information to the patients in the absence of the physician. In some situations they are also required to change wound dressings, remove sutures and staples. They are trained to provide proper first aid and to operate various diagnostic devices. At times they also administer oral medications as advised by the doctor. Applying topical creams needs to be done in few cases. They collect blood samples and send it to clinical laboratories for examination. They explain the treatment procedure and medicines, prescribed by the doctor, to the patients. Medical assistants are mainly responsible in guiding the patients throughout. 

The scope of work for medical assistants also includes maintaining records, proper billing, handling invoices and other financial reports. So the knowledge of computer applications becomes essential. They need to have good knowledge in billing and accounting software. Apart from this, they need to operate various office equipments like fax and credit card machines.

How to become certified Medical Office Assistant?

Medical office assistants play a key role in hospitals and clinics. They liaise with doctors and patients and help them understand the medical problem and the treatment procedures. The first person, whom the patient interacts to, in this complicated medical world, is the medical office assistant (MOA). They guide the patients to follow the required procedure and also help the doctors with the lab reports, various charts and medical analysis. They are the point of contact for the hospital’s office, to deal with billing and insurance claims. A MOA is expected to perform various roles effectively. A small clinic is totally dependent on MOA while large hospitals have MOA’s for specialized work. A MOA is widely responsible for patient’s satisfaction of the medical services.

The role of a MOA is to interact with patients, doctors, lab technicians, front office and clearly understand the requirements. The MOA then guides the people according to their needs. They also help in conducting various medical tests, preparing reports and assist the doctor during medical examination. Multi tasking abilities is essential to become a successful MOA.

An under graduate degree or an equivalent diploma is required to pursue a MOA career. But most of the clinics and hospitals prefer that the MOA’s have a degree or certificate in medical terms, human anatomy along with accounts and insurance knowledge. It is a must that they should be proficient in record keeping as well. To become a certified medical office assistant, it is necessary to attend the certificate course and training program offered by various colleges and universities. Apart from providing theoretical knowledge, these courses provide practical training which is much required to become a successful MOA.

Some of the states mandate that the MOA’s register themselves with the government council in order to obtain a state license. This helps them become certified and licensed MOA’s. Hospitals and clinics prefer certified MOA’s over other candidates. This certification will definitely guarantee a job and one can get an opportunity to prove their skills. The need for MOA is rising every day, making it a prospective career option. 

Apart from the certificate, medical office assistants need to have a pleasing personality and good communication skills. They should be able to understand the patient’s needs and should provide proper guidance. They should keep themselves updated with the latest advancements in the medical field. They should also possess good computer skills to process reports and to maintain records. Knowledge of billing software and insurance programs is essential. Learning has to be a continuous process to be a good medical office assistant. High focus and concentration levels are required to perform the role efficiently. Excellent confidence level can help one become a good MOA.
